Creating
a Database
Begin at Programs/Microsoft Works... (Screens are different on Works 2000)
The works task launcher will open
Click on the Works Tools Tab
You will be creating a Database
A database is similar to an index card file. Like an index card a record in a database contains information about a single person, place or thing. All of the records together make up the database. Fields are columns of information that consist of:
A field name…for example "First Name"
A specific field entry…for example "Julio"
In planning a database you should:
Make a list of the fields (categories) you want in your database
Decide how you want to organize and find information in your database. For example if you want to find all of the people you know who live in Winter Springs, you need a field named "City"
You can always add, delete or resize fields later so keep it simple at first.
When you click on create a Database, the screen will ask you if you want to create a new database, click "Create Database".

In field 1, type "Parent’s Name"
Click Add
In field 2, type "Child’s Name"
Click Add
In field 3, type "Street Address"
In field 4, type "City"
In field 5, type "State"
In field 6, type "Zip"In field 7, type "phone number"
Click DONE
The following window will open

Notice the title is "Unsaved Database"…
Go to FILE
SAVE AS…
…and save your database as "Class Information"
Notice now how your title bar has changed.

Make five entries into each column
If you need to widen a column, place the cursor between two columns until the double arrows appear and click and drag the line to the proper width.
Alphabetize your database…From the Records menu, select Sort Records
Sort them by Student’s Name, in Ascending order.

Let’s create envelopes addressed to each of the parents in our database.

On the TOOLS menu, click envelopes
Click on create envelopes
Envelope Size…10
Database…Class Information
Recipients…All Records
Return Address …Type in your complete return address
Main Address …select each field and ADD it to the window below until the format is correct
Advanced…click on edit
Your envelope format will appear and ask if you want to make any changes. Just for fun, add a clip art object to your envelope.

Position the cursor under your return address.
Go to insert Clip Art
Select an object and click on Insert
You might have to drag the Envelopes: Unsaved Doc Window out of the way…just click in the top brown title bar and drag it
Next resize your clip art until it is the size you want
You also need to right click on the picture…Go to format picture and this window appears
Click on the Text Wrap tab…Absolute and then OK
This same procedure works on any image you are placing in a text document
Click on the GO BACK BUTTON
Click on the Printing Tab
Click on the printing tab, and PREVIEW
Preview how your envelopes will look by clicking next. Notice how the computer merges the database information with the formatted envelope.
